Plant Operations Support Specialist
Administrative Assistant
Located in Maysville, Kentucky 
Pay range up to $18.50 to start
The Plant Operations Support Specialist is responsible for maintaining accurate and organized plant records, reports, and administrative systems to support overall operations. This role tracks commodity usage, verifies invoice accuracy, and assists with cost control and budget compliance. The position also provides oversight of plant office functions to ensure efficient, timely completion of administrative and operational tasks.


Key Responsibilities

  • Maintain and support plant recordkeeping systems and reporting processes
  • Track commodity usage and verify invoices against daily deliveries
  • Assist with cost control and monitoring of operations and maintenance (O&M) expenses
  • Support daily calculations and tracking of incoming materials (e.g., coal, fuel)
  • Maintain physical inventory records for materials and supplies
  • Schedule and track fuel deliveries and usage
  • Compile reports and assist with data analysis related to plant operations
  • Enter and review employee payroll hours and timesheets
  • Maintain records and process payments for internal employee programs
  • Order and manage office supplies and administrative resources
  • Handle incoming/outgoing mail, including offsite retrieval
  • Coordinate meetings, schedules, appointments, and reservations
  • Assist with planning events, tours, and plant activities
  • Maintain employee contact information and organizational charts
  • Review requisitions prior to processing
  • Track outage records and confirm updates with operations teams
  • Route communications and phone calls appropriately
  • Ensure administrative functions are completed efficiently and on priority
  • Perform additional duties as assigned

Qualifications

Education:

  • High school diploma or equivalent required
  • Associate degree or related training preferred

Experience:

  • Minimum of 3 years of relevant administrative, operations, or support experience

Skills & Competencies

  • Working knowledge of accounting/bookkeeping principles
  • Strong math skills (fractions, decimals, basic formulas)
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Understanding of general office procedures and inventory tracking
  • Familiarity with payroll, timesheets, and overtime practices
  • Strong organizational skills and attention to detail
  • Effective time management and ability to meet deadlines
  • Excellent verbal and written communication skills
  • Ability to work effectively with all levels of personnel and external contacts
  • Team-oriented mindset with strong planning and organizational ability

Working Conditions & Requirements

  • Valid driver’s license required
  • Occasional travel within plant grounds and to other locations
  • Primarily office-based with exposure to plant environments as needed
  • Ability to lift up to 20 pounds
  • May require work outside of normal business hours
  • Must wear appropriate personal protective equipment (PPE) when required

Physical & Environmental Demands

  • Combination of sitting, standing, and walking throughout the day
  • Occasional lifting, bending, reaching, and manual tasks
  • Exposure to plant conditions including noise, dust, temperature changes, and uneven surfaces
  • Frequent communication, reading, writing, and data entry tasks
  • Regular use of computers and office equipment
